SwimStory is currently in a trial period. This policy reflects our practices during that period and will be updated as the platform evolves.

  • Memories and content — stories, captions, photos, and videos you choose to share on the platform.
  • Contact form submissions — your name, email, team name, and any message you send through our contact form.

Information collected automatically

  • Usage data — pages visited, features used, and general interaction patterns within the platform. This helps us understand how SwimStory is being used so we can improve it.
  • Device information — browser type, operating system, and general location (country/region level only).

How We Use Your Information

We use your information only to operate and improve SwimStory. Specifically:

  • To create and manage your account and team page.
  • To display the memories and content you publish to your club members.
  • To respond to questions or requests you submit through our contact form.
  • To understand how the platform is used and identify areas for improvement.
  • To maintain the safety and integrity of the platform.

We do not use your information for advertising, profiling, or any form of algorithmic targeting.

Who Can See Your Data

SwimStory is a private, club-based platform. Your content is not public.

  • Published memories are visible to all verified members of your club.
  • Draft memories are visible only to you until you choose to publish them.
  • Account details such as your name and club affiliation may be visible to club administrators.

We do not sell, rent, or share your personal information or content with any third parties. Your data exists to serve your team's community — nothing else.

We may share information only if required by law, or to prevent harm to a person's safety, and only to the extent necessary.

AI Features

SwimStory includes an optional AI writing assistant that can help you build and tell your story. This feature is entirely opt-in — you are never required to use it.

  • The AI assistant is available only as a writing tool to help you express your memories more clearly.
  • Your content is not used to train AI models.
  • The AI is not used to profile users, rank content, or make any algorithmic decisions about you or your experience.
  • Any content you generate with AI assistance is yours — you remain in full control of what is published.

Photos & Videos

You may upload photos and videos as part of your memories. When you do:

  • Media files are stored securely and are only accessible to members of your club.
  • We do not use your photos or videos for any purpose beyond displaying them to your club.
  • We do not apply facial recognition or any automated analysis to media you upload.
  • If you delete a memory, associated media will also be removed from our systems.

Please be mindful when uploading photos or videos that include other people — especially minors. By uploading such content, you confirm you have the right to share it within your club community.

Data Retention

We retain your information for as long as your account is active or as needed to provide the service. During the current trial period, we keep data to allow teams to build a continuous archive across seasons — this is central to SwimStory's purpose.

If you close your account or request deletion, we will remove your personal information and content within 30 days, except where retention is required by law.

Your Rights

You have control over your information. Depending on where you are located, you may have the right to:

  • Access — request a copy of the personal information we hold about you.
  • Correction — ask us to correct inaccurate or incomplete information.
  • Deletion — request that we delete your account and associated data.
  • Portability — receive your data in a portable format.
  • Objection — object to certain uses of your data.

Children's Privacy

SwimStory is used by swim teams that often include young athletes. We take this responsibility seriously.

  • Accounts are created by adults (parents, coaches, or team representatives) on behalf of the club.
  • We do not knowingly collect personal information directly from children under 13.
  • Content featuring minors — such as photos or race-day stories — is shared only within the private club community and is never made public.

If you believe a child's information has been collected in error, please contact us immediately and we will address it promptly.
